This evaluation report has been developed to collect the opinion of the project partners on the E-Learning tools of this website.

The ERASMUS+ project „Guide My W@y – A European Career Guidance and Counselling Concept for International Youth Mobility“ approached an innovative aspect of counselling.

It successfully developed the basis for advanced training measures for European vocational education and professional guidance counsellors in order to train virtual e-Counselling dialogues within the virtual classroom.

The training of 8 webinars à 90 minutes each, enabled the participating counsellors (EURES and others) from different countries (Czech Republic, Germany, Poland and Spain) to get to know the virtual aspect of counselling within virtual classrooms and adapt the developed European concept on guidance and counselling to the requirements of virtual counselling.

The webinars were composed of teaching the European Career Guidance Concept, introducing the virtual classroom, establishing the differences between face-to-face and virtual counselling, teaching important features of the virtual communication, teaching virtual counselling scenarios and practicing the European Career Guidance Concept through virtual counselling dialogues.

These virtual counselling dialogues enabled the participating counsellors to learn how to use the virtual classroom and its tools and how to guide a young person properly in a virtual environment.

The methodology of counselling refers to the methods of guidance counselling in the field of circular, transnational mobility of young people and young professionals. The methods of guidance counselling include the basic interrogational steps of practice-orientated guidance counselling. These question types can differ between open and closed questions, scaling questions, research methodology, and many more. All of these counselling techniques are generally used in all five phases and concern the various contents of an international career guidance dialogue.

Structure of the Five Phases
1. Opening

Central Function:

The Opening is important to build up confidence to know what your client wants to talk about and establish his/her expectations.

Key questions:

  • How did my client get to the meeting and how does he/she feel?
  • What does my client want to talk about?
  • What are his/her expectations of this dialogue?
2. Situation Analysis

Central Function:

The situation analysis revises the personal situation, especially the educational, vocational and professional situation of your client as well as his/her personal motivation for international mobility.

Key questions:

  • What is the personal situation of my client?
  • What does he/she want to do abroad?
  • Where does he/she want to go?
  • What does he/she have to do to be successful?
3. Target Definition Central Function:

The target definition depends on the summary of the situation analysis and is the first step of implementation by setting up content specific targets and prioritising them.

Key questions:

  • What is the summary and outcome of the situation analysis?
  • Can he/she establish a priority order of targets?
  • What are the SMART-Targets of my client?
4. Implementation

Central Function:

The implementation helps to realise the targets of your client and what information and contacts he/she can rely on.

Key questions:

  • How can my client successfully implement the prioritised targets?
  • What information does he/she need to proceed?
  • Who can help him/her to be successful?
5. Conclusion

Central Function:

The conclusion sums up everything discussed and elaborates the next steps of your client.

Key questions:

  • What is the summary and outcome of the dialogue?
  • What are the next steps of my client?
  • When/where should be the next meeting and how could one remain in contact?

Opening

Central function

The Opening is important to build up confidence to know what your client wants to talk about and establish his/her expectations.

In the Opening you should create a confidential atmosphere by having a small-talk and thus developing a contact with your client. This helps to create room for establishing the concern of the meeting as well as the expectations of your client and the objective of the dialogue. This phase helps structuring and developing transparency throughout the entire dialogue.

The three key questions of the Opening are closely related to the three functions of this phase: building up a confidential relationship, establishing the concern of the meeting and the expectations of your client.

The following open exemplary questions are specific for the Opening phase of the dialogue:

Situation Analysis

Central function

The Situation Analysis revises the personal situation, especially the educational, vocational and professional situation of your client as well as his/her personal motivation for international mobility. It is important to know different aspects of your client such as:

  • His/her current situation (at the vocational, study and occupational level)
  • His/her personal motivation for going abroad (vocational education, studying, occupation))
  • Self-assessment concerning qualifications, competences and personal features
  • Self-assessment concerning the other four content topics: Recognition of Certificates, Legal Issues, Intercultural Issues and Matching.

Key questions

  1. What is the personal situation of my client?
  2. What does he/she want to do abroad?
  3. Where does he/she want to go?
  4. What does he/she have to do to be successful?

When we talk about situation analysis, we have to take into account that OPEN questions are the specific question type of this phase.

Central question types are shown in the following exemplary questions:

Hypothetic questions that involve expressing a wish or idealistic plans for the future:
  • What would be your dream country to live in?
  • If you could imagine your dream vocation/study/job, what would it be?
Establishing what your client wants to do abroad and where he/she would like to go:

  • Have you been there before and what do you know about it?
Inquiring about the self-assessment ability of your client:
  • What kind of experience do you have in this field?
Follow-up questions concerning the stay abroad:
  • What do you expect from studying/working abroad?

  • On a scale of 1 to 10, how would you rate your language skills: 1 being very low and 10 being very high?

Target definition

This phase defines the specific targets of your client. Therefore, this phase of the dialogue focuses on:

  • summary of situation analysis
  • setting-up the specific targets together with your client
  • prioritising them until the end of this phase
  • formulating SMART Targets

Key questions

  1. What is the summary and outcome of the situation analysis?
  2. Can he/she establish a priority order of targets?
  3. What are the SMART Targets of my client?

It is important that you elaborate if your client has clear targets. If this is not the case then the targets have to be developed with your help. When defining them you have to make sure that your client’s targets remain realistic.

In this way, through the formulation of questions you can help your client to sum up the outcomes of the situation analysis and to establish a priority order as in the following exemplary questions:

To summarize the dialogue:
  • I would like you to summarize what we have discussed so far.
To specify the area of improvement:
  • What are your ideas?
To quantify and indicate which option is the best from your client’s point of view:
  • If you are to summarize the most important reasons for (against) the possibility A – what would they be? And what about possibility B?

  • So one of your targets is that you would like to work in the automobile industry in Germany. How would you rate the importance of working for a global player on a scale of 1 to 10 (one being not important and ten being very important)?

Implementation

In this phase you, as a counsellor, should develop successful strategies for action such as:

  • research strategies and networking
  • information management
  • realisation and implementation of SMART-Targets

The focus of the implementation lies on the research information and networking. This provides proper information which can be accessed by your client on his/her own as well as institutions and contact persons your client can rely upon.

Through the formulation of a mixture between open and closed questions you can help your client to implement his/her targets as in the following exemplary questions:

Helping your client to structure the implementation of the prioritised targets:
  • Let us develop a strategy plan in which we will summarize the different activities you have to operate to achieve your targets. This way you will have an efficient guide through the following steps …
Inquiring how your client would implement his/her targets:

Conclusion

This phase includes a feedback to your client as well as a resolution of the questions which remained open. Furthermore you can give your client an outlook on further steps, which can be done in a To-Do List by distributing documents and agreeing on a new dialogue appointment.

The main methodology lies in the encouragement towards your client and providing a constructive feedback as well as an outlook. The formulation of both open and closed questions helps your client to have a broader understanding of his/her current achievements and to establish a clear task for the future, which is provided in the following exemplary questions:

Summarizing the outcome of the dialogue together with your client and establishing the steps that have been elaborated:
  • Let us summarize together what we have talked about today.
  • How far did we get until now?
Ensuring if there are no more questions left for this session and if yes, what can be discussed now or in a later guidance dialogue:
  • What has turned out to be clearer?
  • Is there anything missing or still open to be discussed later?
Providing further assistance to your client:
  • Is there anything else I can help you with?
Encouragement to attend a second or further guidance sessions, provided that your client wants to participate:
  • I would be very happy if you would like to talk again in case there is any demand for communication.
  • Then we will see each other in a couple of days/weeks/months … It will be of great interest to see how far you have got until then.

Information Management and Research Techniques

Information management is about how you, as a counsellor, can gather information and about how you can help your client to collect information on his/her own. The given information remains often the same but the way how to help your client can differ. You can collect information through different kinds of networks and you might know more about specific websites and where to search for what kind of questions and problems. We will discuss networks in the following chapter. Your main task here is to enable your client to help himself/herself. Which type of information or hints you can give to your client, will be discussed in this chapter. To begin with, there are four main information sources:

It is necessary to collect information which your client can make use of himself/herself. Therefore you should be able to:

  1. evaluate how much and what kind of information the client can understand and work on
  2. estimate how much help the clients need during the information search
  3. know the webpages and their information to assess if it is something your client can use individually

The more your client knows about his/her destination country, its rules and its requirements, the more he/she will be successful in staying in that country.

Besides using common “search engines” (i.e. google, Bing, yahoo, ecosia) there is the possibility to use various other webpages containing general information about international youth mobility. Another important source for collecting information is the forum, where people can communicate with each other, usually anonymously. If your client or you, as a counsellor, are searching for a particular answer to a question, he/she can use a forum and wait for somebody to answer. Additionally, there is the possibility to search for prior conversations. If someone else already asked the same question, they can use a forum to ask for help or check if the question has already been discussed in prior conversations.

Forums can differ in their type. Some cover a wide range of topics and others are very specific about the themes. They can be moderated by professionals or they can be non-moderated. It depends on the question and the forum how long it takes until the question is answered. Last but not least, forums can lead to personal contacts (networking).

Networking

The differentiation between networking and information management is that a direct contact is necessary in the former one. The contact could be personally known or an anonymous person, for instance in this case: you, as a counsellor in a forum with a nickname. The six degrees of separation theory is especially important for networks. It states that everyone around the globe is connected to each other over a maximum of six steps.

Granovetter’s theory of the strength of weak ties states that weak ties (i.e. loose networks, distant acquaintances) are more important for finding a job than strong ties, because the information you can gather out of strong ties (i.e. closed and small networks) are often similar and therefore redundant. Combining both theories causes a good understanding of how important networks are for collecting information. Here is a collection of the most general guidelines for networking:

While contacting, ask yourself:

  • What do I want to know exactly?
  • Whom do I ask (which knowledge can I expect from whom)?
  • How do I ask and how extensive should the question be (considering the available time); finding a balance between how open and how precise the question should be?
  • Do I need a warming up to break the ice?
  • How should I talk to whom?
  • Which medium would be the right one (telephone, email, chat, forum, face-to-face, etc.)?

How to ask which kind of contact is one of the most important aspects, but since there are culture-specific differences in addressing someone formally, it requires expertise and experience.

At the end of the contact you should show appreciation for the person who helped you to be able to maintain and uphold the contact!

The examples presented in the table do not represent all ways of networking but they correspond to the most important possibilities of getting in touch with other counsellors or young people.

Young people who want to go abroad often need orientation about their vocational choice and professional career guidance. Therefore, this module will enable international career guidance counsellors to help young people to make their own career choice.

Opening

In the Opening phase you have to assess if it’s necessary to go into the topic of Career Choice and Orientation together with your client. The key questions concerning your client’s current situation are:

The following exemplary questions can be used to get an idea of the client’s current situation in this process. These questions refer in all modules to the situation of your client regarding the following life aspects:

  • Vocational education (including first vocational education, follow-up education, further training)
  • Studies (including first field of studies, follow-up studies, internship, semester abroad)
  • Occupation (including first occupation, occupational change, advanced training, professional reintegration)

Establishing a clear career choice regarding the vocation/study/job transition option of your client:

  • What would you like to do abroad? (Vocational education, study or work)
  • Do you know what options you would have?
  • Could you put your options into a priority order: What would be your first, second, third option?

Getting a clear idea of what the aims of your client are as well as his/her motivation for going abroad:

  • What is your motivation to go abroad?
  • Why do you want to go abroad for vocational training/studies/a job?

A focus question regarding what type of the life aspect your client is focusing on abroad:

  • What kind of vocational training/studies/job would you like to do?

The final aim is to enable your client to specify what he/she would like to do or at least to narrow down the options he/she would like to talk about:

  • Where would you like to go for this kind of vocational training/studies/job? (Which country, institution, enterprise, etc.)

If everything is fine with your client’s idea, you can take the next step and move on with profiling. In profiling it has to be assessed if the options are feasible and realistic. If your client’s career plans are not realistic, you have to go back to career orientation to elaborate and further specify them.

If your client’s future career plans are wide open, you should try to find out and evaluate, together with your client, possible options. To do so, you have to go into a systematic situation analysis to find out which possible options there are. In the situation analysis it is very important to use open questions. The aim of the second phase of situation analysis is to elaborate together with your client a set of specific career options.

Situation analysis

This process allows you to obtain an understanding of your client’s current situation in the field of vocational and occupational career choice and orientation. When we talk about situation analysis, we are referring to OPEN QUESTIONS which are specific for this phase.

If your client cannot express a positive career option, it is sometimes helpful to ask a hypothetic question that opens up the imagination of your client:

  • If you could imagine your dream job, what would it be?
  • If you had three wishes, what kind of vocational training/studies/job would you like to do?

If your client cannot express a positive career option, it is sometimes helpful to ask him what he/she wouldn´t like to do, i.e. to exclude something and to state for what reason:

  • What vocational/study/occupational option(s) would you not like to do at all and why wouldn’t you like to do it/them?

A systemic follow-up question helps your client to further self-assess his/her skills and competencies from the point of view of significant others surrounding them:

The final aim is to enable your client to specify what he/she would like to do or at least to narrow down the options he/she would like to talk about:

Decision-making

This part of implementation helps your client to put together what decisions need to be made in the field of career choice and orientation.

You have to broach the decision making pattern of your client and set them into relation with the current decision. Therefore you can develop a decision making situation based on criteria, such as:

  • decision matrix of options (listing options and prioritising them)
  • list of pros and cons (which options weigh the most on a pro and con level)

If everything is fine and your client knows how to proceed from here then you can continue with the process of matching. This enables you to match the intercultural requirements of your client with a proper offer for a vocational education/field of study/occupation.

If your client does not know how to proceed from here then you will have to move back to the previous phase of target definition in order to further specify the clear targets of your client that he/she has to consider.

Situation analysis

This phase allows you to describe and explain the different procedures of the placement aspects of your client when he/she wants to find and apply for a vocation/study/job abroad. Hereby it is important that you get to know what your client knows and has done, how the procedure looks like and how you can be of help for your client, including upon his arrival in the host country and a possible return to the home country.

The virtual aspect reflects the advancement of guidance and counselling on a technological scale. Virtual guidance and counselling means nothing more than alternatives to face-to-face counselling, such as virtual meetings through tools like virtual classrooms, Skype, Lync, etc. The differences between face-to-face and virtual counselling are hereby presented and elaborated with the usage of a didactical concept of how to teach the eGuidance Concept and its modules in a virtual surrounding.

Phone counselling

phone This type of counselling refers to any type of counselling service using the telephone, smartphone or any device that allows an audio connection between you and your client. This can take place at your office and your client can be at home, in another place that allows a good audio connection or even on the way. The phone counselling can be used when your client cannot attend a counselling meeting, in case of an emergency or for follow-up questions after one or many meetings.

Phone counselling can be done by you, the counsellor, whom your client knows personally or through a counselling hotline, where your client receives certain services or answers regarding questions that can be answered in a rather short way. Furthermore, phone counselling can be of short or of long duration, depending on the needs and the time of both your client and you. This type of counselling is synchronic since you and your client are simultaneously connected to each other.

Advantages

Phone counselling, unlike other forms of counselling, is rather free of certain factors that might constrain the counselling session, such as the place, time, duration and cost. There, this form of counselling is more accessible for your client who would be unable otherwise to attend a personal counselling meeting. Furthermore, phone counselling provides a certain degree of anonymity which might comfort some of your clients.

Limits

As to the other side of the coin, phone counselling cannot replace the personal features of a face-to-face counselling session. Sometimes, phone counselling can feel rather distant whereas face-to-face counselling can provide a more “connected” feeling being physically present for both your client and you. Depending on the location and the surrounding of your client, there might also be disruptions and certain pressures that could make it difficult for your client to focus on the counselling phone dialogue. Phone counselling however can be attended beforehand or afterwards by a traditional face-to-face counselling meeting.

phone This type of counselling refers to use the Internet as a medium to connect via the browser (Chrome, Firefox, Internet Explorer) to your email programme, be it professional (Microsoft Outlook) or personal (GMX, Yahoo, GoogleMail, etc.). By using email programmes you can practice correspondence with your client. Emails can only be sent if there is a proper internet connection, unlike the phone counselling which only requires a phone provider. Furthermore, both you and your client need a current email address to communicate with each other.

Unlike phone counselling, email counselling is asynchronous since the response of both you and your client can differ on the time level meaning that once you have sent an email to your client, he/she might take from several minutes until up to days to respond, depending on the personal time of your client to check his/her emails. This refers to your client as well. Once you receive an email from your client, you can either answer the email within a couple of minutes or, depending on the work and personal time, within a couple of days. The more urgent the issue of your client’s email, the faster you should respond. Your client usually decides when he/she wants or has to send an email to you, since there are no opening times that have to be considered, unlike a face-to-face meeting.

Advantages

Writing an email removes the feeling of pressure from your client and gives him/her time to concentrate and think about what to write. There is also the possibility of writing a draft email, saving it and complement it afterwards. Email counselling can represent a preliminary stage of face-to-face counselling for people with certain restraints through a cautious approach and trying out. Your client can either send an email to you personally or create an account on the website of the counselling institution to be able to reach you, depending on the matter. Email counselling represents a low-threshold and anonymous contact option which makes it easier for your client to receive a proper guidance and counselling. Furthermore, email counselling offers anonymity and a maximum of safety regarding the data and the personal matter of your client. This however depends on the security of a browser as well the email programmes. The emails have to be secured on both sides of you, as a counsellor and your client to be able to maintain the issue of privacy.

Limits

Regarding the time aspect however, both you and your client have to be aware of the fact that your client can be in a different physical and psychological condition when reading a reply as when having sent the question. Therefore, email counselling is an option which is suitable to a limited extent for pressing matters. It has to be pointed out that, unlike other online and distance counselling options; email counselling is a text-based option, where you can only fall back on the written text and not on non-verbal signals. This type of counselling requires a certain amount of special competencies from you as a counsellor, such as reading, writing and of course internet competencies. The anonymity and the data security has to be guaranteed through the world wide usage of the Internet, since certain data security assets can be hacked into by third persons or even deleted completely.

Chat counselling

chat Chat counselling is part of the online communication. Unlike email counselling, chat counselling is almost synchronous, since both you and your client have to be online at the same time. It is not completely synchronous due to the internet connection of both you and your client where there might be differences in the transmission. Nevertheless, both you and your client can communicate with each other by sending either word, sentences or entire sequences. You and your client of course will have to wait until one or the other has finished and entered the word, sentence or sequence to be able to reply.

Chat counselling can take place between one counsellor and one client (1:1 context) or in group chats (“one-to-many”) where more clients can participate. These group chats are characterised by certain topics or even an expert chat, where a majority of clients can benefit from. The usage of non-verbal signals plays a very big role, unlike email counselling. On the one hand, the usage of non-verbal elements can be used to compensate the missing non-verbal elements within a face-to-face counselling meeting. On the other hand, special non-verbal elements, such as smileys, can be used on purpose and are then not to be mistaken with the non-verbal signals of a face-to-face counselling meeting. There are several non-verbal elements which can be used within chat counselling, such as:

  • Emoticons (Smileys “:)”, represent human faces and emotions)
  • Acronyms (“lol” = laughing out loud, represent short forms of a series of words by using the first letter of each word)

Advantages

Chat counselling offers a great deal of sustainability. You can use links and provide direct information for your client within the chat session. The single chat counselling offers the possibility to discuss individual problems and issues. A great deal of anonymity is also given, since your client does not have to present himself/herself in front of you and does not have to talk to you personally. Group chats are a good opportunity for more people to get an expert opinion on topics that have to be dealt with on a daily basis. Especially young people are encouraged to open up to you by finding out that their issue is a common one and more young people share it. Special theme chats can be used by different people, especially when it comes to topics that many of your clients have to deal with on the same level.

Limits

Through turn taking, i.e. the switch from counsellor to client, the communication and the active change of the speaker in charge can become difficult. Sometimes it can lead to intersections, since the written expression can only be transmitted, once the person in charge has pressed ENTER. By using non-verbal elements, the turn taking can be highlighted. The communication can also require a fast interaction that has to be controlled, mostly by the counsellor. Even though the anonymity is quite high, there is however the possibility that your client can be distracted since you can neither speak to nor see him/her and thus have a lower attention and focus span within a chat counselling session.

forum This type of counselling is asynchronous and text-orientated. Your client can exchange with other clients their opinion on several topics, issues and experiences within a secured, virtual room. This open type of counselling represents a self-help method of counselling. You have the option to moderate the forums, react to certain threads within the forum and discussions as well as participate and share information.

By using forum counselling, your client can develop a social community that enables a realistic exchange and social support in a virtual room.

This can be important to engage young people in their experiences, especially, with counselling. A forum can be entered at every time and works as a preventive offer of counselling with thematic subjects and separations.

Limits

Forum counselling, as well as chat counselling, has a strong focus on the non-verbal communication, especially between you and your client and requires special competencies in reading and writing on an online level. Furthermore, being included and having to be present on a daily basis requires a good planning and a lot of personal resources for you as a counsellor. Especially, the missing personal connection, as in the other distance counselling methods, can create several restraints.

Virtual counselling

virtual This type of counselling combines the audio communication option (phone counselling) with video communication options (Skype, etc.). Virtual counselling is the closest counselling option to face-to-face counselling meetings, since you can hear and see your client, as well as communicate with him/her by using both verbal and non-verbal elements. Virtual counselling takes place within a virtual room (classroom, Skype, Lync, etc.) where both you and your client connect within the same room and use a video camera to see each other and a microphone or a headset to talk to each other. The requirement for virtual counselling goes beyond a simple internet connection.

The internet connection has to work faultlessly to ensure a proper and fluent video and audio transmission as well as a proper usage of the virtual classroom tools. Within a virtual classroom, both you and your client can use a whiteboard to write on it or upload documents as well as to share documents and files with each other, send links and even share each other’s screen. The last aspect, called screen-sharing, is an option which enables your client to watch you go through the most important websites, documents, etc. and understand the complexity of certain issues.

Advantages

Virtual counselling comes very close to a face-to-face counselling meeting since both verbal and non-verbal elements can be used. Especially, due to the same reasons (place, time, costs) as for distance counselling in general, virtual counselling can be used, especially when it comes to international guidance and counselling and both you and your client remain in contact despite the geographic and time difference. This way you can support your client in his/her issues that appear when travelling abroad and especially when living abroad.

Limits

The aspect of anonymity is, unlike the other distance counselling methods, less given, since it almost represents a face-to-face counselling meeting. In the case of a virtual meeting in different European countries, the connection can differ and thus influence the fluency, speed and the quality of a virtual counselling meeting. Especially the time difference might be an issue for planning the appointment. In addition, reliance of information service providers, credibility and viruses can disturb the virtual counselling as well as all the other methods of distance counselling.
